Thank you for your event in hosting your event(s) at Tabor College!

These guidelines provide useful information as you inquire about different facilities and spaces. Please note that reservations for any part of Tabor’s campus must be made at least 15 business days in advance to accommodate the schedules of Tabor personnel.

Make a Reservation

  • Visit Tabor’s calendar to see if the space(s) is being used by another external group.
  • Visit our Event Request form and fill it out in its entirety.
  • Once our Planning Center campus coordinator receives it, the form will be forwarded to the appropriate facility administrator.
  • Please allow 48 hours for an approval or denial of your request.
  • If Pioneer Catering, Tabor IT, and/or Public Relations & Communications (photography/social media) are requested, instruction will be given to fill out further forms and finalize your request.

Space Scheduling Rules & Requirements

  • Tabor College reserves the right to:
    • Refuse any group and/or individual inside its facilities.
    • Cancel if a requested space is needed for campus-related activities. This includes, but is not limited to unforeseen or weather-related events. Alternative space or a refund of all money will be provided.
  • Contact the Tabor Business office for information on rental fees for your event.
    • Please note, that Tabor reserves the right to waive or adjust any fee.
  • A Use/Rental or Lease Agreement must be on file for any group, organization, or individual that uses Tabor facilities. This includes a copy of liability insurance of at least $1,000,000, naming Tabor as additional insured and covered by the policy.
    • A signature on the release form indicates proper liability coverage has been secured by the individual or group.
    • Please attach a copy of the liability coverage to the release form.
  • It is understood that:
    • Anyone using Tabor facilities will use good judgment to care for personal health.
    • Injuries on Tabor property will be the user’s responsibility, not Tabor, or any of its employees.
    • Tabor is not responsible for the theft of any items belonging to anyone except property belonging to the college.
  • You will receive instructions on unlocking and locking your requested space.
    • There will be an emergency charge for Tabor facilities to unlock your space if you have not picked up a key during normal business hours.
  • Once a space is reserved and confirmed, it can be canceled up to four days before your event with no payment required. A cancellation within four days requires a rental fee. The event organizer will not be charged if the cancellation is because of a Tabor event.
  • Tabor is an alcohol/drug/smoke-free campus. It will not be permitted in any indoor or outdoor gathering space.
  • Special accommodations will be required for housing and dining between Spring Commencement and the start of fall classes.

Reservation Prioritization

  • Tabor College and its administrators, students, faculty, and staff hold priority for campus events and facilities.
  • Tabor reserves the right to cancel if a requested space is needed for campus-related activities. This is applied, but not limited to unforeseen or weather-related events. Alternative space suggestions or a full refund will be provided.

Faculty & Staff Reservations

  • A request form is required when an outside speaker/consultant is brought to campus.
  • If a reservation is needed, has five or fewer attendees, and meets within a 48-hour window, please email events@tabor.edu to reserve the requested space.

Pioneer College Caterers

  • Please visit www.tabor.edu/pioneer-presents/ to see all guidelines and menus.
  • If your event request has been approved and you have also requested catering, you’ll be instructed to visit the above link to submit a catering request.

IT

  • If sound or lighting is requested, no group may use college equipment without the written consent of Tabor personnel. The college also reserves the right to supervise and control use.
  • Specific spaces will require additional personnel to run or maintain technical equipment, thus requiring additional cost.

Public Relations & Communications

  • Tabor’s campus photographer will not be available for any events that are not directly related to alumni, administration, faculty, staff, or students.
    • An alumni event will only be considered if it is a gathering directly related to Tabor.
  • Photography is not offered for a gathering led by a Tabor employee or graduate and is for external purposes.

Facility Operations

  • Specific spaces will require additional personnel to run or maintain technical equipment, thus requiring additional cost.
  • If no seating chart of table & chair arrangements has been chosen or provided within 48 hours of your event, the facilities department reserves the right to use a standard setup.
  • As a rentee of Tabor facilities, you are expected to care for and steward the campus. The rentee will be charged for all damage caused by your group(s) to Tabor and its facilities.
  • Keys MUST be returned after your event(s). A fee will be charged for each key that must be replaced.
    • Keys can be returned to the Shari Flaming Welcome Center entryway dropbox after your event. All keys must be returned within one business day following the event or you will be charged a key replacement fee.
